Job Description
Under the direction of the Executive Director, and in accordance with association policies, the Human Resources Specialist is responsible for providing administrative support for the Executive Director, branch human resources, board communication and meetings, fundraising efforts, accounts receivables, and overall branch management. This position requires exceptional organization and communication skills.
Qualifications
- Bachelor's degree in related field or equivalent preferred.
- Two years or more related human resources experience preferred or equivalent combination of administrative or office management experience.
- Understanding of basic human resources policies and employment law.
- Ability to manage sensitive, confidential information with discretion.
- Experience with standard business software and office machines.
- Proficiency in Microsoft Word and Excel.
- Strong organizational abilities as well as oral and written communication skills.
Essential Functions
- Assist the Branch Executive Director with the annual fundraising campaign, branch special events and efforts related to fulfilling the mission of the YMCA.
- Provide administrative support to the Branch Executive Director. Coordinate board meeting calendar, minutes and organize committee meetings.
- Work closely with Branch Executive to be a staff resource, decision maker and trusted leader in the absence of the Executive Director.
- Serve as a first point of contact for all matters related to human resources including handbook and benefit policy interpretation, HRIS management, and requisition management.
- Work in collaboration with association human resources department on managing WC injuries and reporting, leave management (FMLA, WC, etc.) payroll discrepancies and employee relations issues.
- Manage sensitive, confidential information with discretion.
- Onboard new staff and ensure that paperwork and HRIS system entries are accurate, complete and timely. Ensure that new staff complete all required training as part of the onboarding.
- Train new supervisors following the Supervisor Process and Procedure manual. Ensure all processes are followed by branch supervisory staff.
- Review payroll for accuracy and completion; work to address issues prior to payroll deadlines.
- Lead and manage branch recruitment efforts such as posting requisitions, managing the ATS, reviewing and screening applicants, dispositioning applicants, and closing requisitions.
- Certify that employee changes are timely, accurate and address any omissions, concerns, or errors with hiring manager for resolution.
- Maintain accurate HRIS records. Provide data used for employee recognition.
- Assist with annual benefit open enrollment and benefit enrollment for full-time staff.
- Manage branch accounts receivables. Ensures timely deposits of all cash.
- Oversee office functions such as petty cash, office equipment and supplies, etc.
- Provide support for open positions as directed by the Executive Director.
- Attend and provide leadership within the branch regarding cabinet meeting updates.
- Model relationship-building skills in all interactions.
- Serve as member of branch leadership team providing support as a manager on duty.
- Perform other duties as assigned.
